Welcome back {{First Name| to Prompts Daily}}.
This Sunday, I want you to sit back, relax, and enjoy this deep dive into my note-taking system (Notion AI powered).
We’ll cover these 4 use cases with the exact prompts:
How to summarize your meeting notes (instantly)
Edit your writing with AI
Use AI in project management
Prioritize tasks based on urgency
My workspace lies in Notion. It's a free app that combines all my to-dos, notes, outlines, tutorials, and team documents.
Today, I’ll show how you can use this free tool to run your business and collaborate with your team.
Let’s get into it 👇
🧠 Note: New to Notion? You can download it for free here. It’s loved by 30M+ users around the world (and we love it too 🙂)
How to add Notion AI
Firstly, to access Notion AI, you need to add it to your free Notion plan here:

Done? Now let’s get into each use case one by one.
Use Case 1: Summarize Meeting Notes
A simple one to start with.
I do a lot of meetings for work. As time goes on, it becomes difficult to keep track of meetings.
I do take notes during and after meetings but you probably know that these can get long.
Recently, I’ve started using Notion AI to summarize my meetings automatically.
This saves me a lot of time and I always have actionable points of what was discussed.
Let’s build this system in your workspace in 30 seconds:
Create a database by typing “/database”

Name it meetings and add all your meetings there.

Add a new property and select “AI Custom Fill”.

Then insert this exact prompt:
I want you to act as someone who wants to review the meeting notes about the new product launch in simple terms. Please summarize the key points discussed during the meeting, including any important details about the new product. Additionally, ask any follow-up questions you may have regarding the new product’s features, target market, or the launch timeline.… Ta Da!
Here is the result:

I like this because all my work is in Notion anyway. It’s feature-packed and has everything I need.
So now I don’t even have to copy/paste into ChatGPT or anywhere else to summarize all the meeting notes individually.
It’s native, instantaneous, and automatic.
Use Case 2: Using AI to Edit Your Writing
This use case has helped me write more clearly in the last 2 months.
It’s taken my writing to the next level. I call it AI-assisted editing.
When I am writing my final drafts and need help with editing…
I turn to Notion AI as my editing assistant.
It helps me find gaps and give feedback on my writing.
Here’s a simple prompt to try:
I want you to act as my AI writing assistant and help me improve my writing skills. I would like you to review my content for any typos, grammatical errors, and inconsistencies, and rewrite them to the best of your abilities. Additionally, provide me with tips on how to make my writing clearer and more professional. I will share my written content with you and would appreciate your expert opinion on areas where I can enhance my writing style. Here’s the result I got from my own writing:

This gives me a better perspective of the different ways I can write.
The more you ask the better your results get.
Crazy!
Use Case 3: Use AI in Project Management
This workflow is one of my favorite ones.
With this prompt, you can save a ton of time when managing projects.
Let’s look at an example prompt:
For example, you are a founder of a software company that is planning its Q3 feature roadmap and you want to get a high-level understanding of every feature in the roadmap.
How do you do that? Well… You might have guessed it.
Let’s try to use Notion AI.
Here’s what you can do → Create a database and add AI Custom Autofill property.

Write this prompt:
I want you to act as if I want you to explain to me the details in the document like I’m a beginner, and the document contains the details for our 3rd quarter feature roadmap. Since I don’t have domain expertise in this area, please provide an explanation in 3 bullet points. Here’s the result:

It gives you a high-level understanding of all the features.
It’s concise and easy to understand. Very handy.
But how do I decide which features we should focus on first?
Well, in that case, you’ll find the 4th workflow useful 👇
Use Case 4: Prioritize Your Tasks Based on Urgency
You can use Notion AI to help you rank the tasks based on different parameters.
Let’s take “urgency” for example.
This helps you and your team stay productive and work on tasks that are essential to get the project moving in the right direction.
Here’s the prompt you can insert:
I want you to act as an expert manager who can rank outstanding tasks based on urgency. You should assess my current workload and guess what tasks might be pending. Please provide a list of tasks ranked in order of urgency, starting from the most critical. Include a brief description or key details about each task to make it easier for me to prioritize and address them promptly. Here’s the result:

Notion AI also gives the reasons why one feature is given more priority than the other.
Notion AI is a brilliant tool and stands out from ChatGPT.
It is more customizable than ChatGPT and can create custom databases, tables, and notes to fit your specific needs.
It’s also designed in a way for you to be more productivity-focused and can help you create summaries of your notes, automate database updates, and more.
